RESERVING YOUR DATE

A signed contract and $100 nonrefundable reservation retainer are required to officially reserve your date. Your retainer goes toward the total cost of your collection, with the remaining balance due at session. Weddings, events, and specially priced prepaid collections follow their own payment terms.

WHO’S COMING

Each collection lists the number of people it includes. Immediate-family sessions are created for parents or guardians and their children. Grandparents, adult siblings, cousins, friends, and additional households require the appropriate generational collection.

Everyone attending—including babies and children—counts toward the total. Senior sessions are reserved for the graduating senior and do not include portraits with friends, partners, siblings, or family members.

CANCELLATIONS & RESCHEDULING

A $100 nonrefundable reservation retainer is required to book your session. This payment reserves your date exclusively, removes it from my availability, and covers the time spent preparing for your session. If you cancel, the retainer will not be refunded for any reason.

One client-requested reschedule is permitted, and your retainer will transfer to the new date. Rescheduling is based on my current availability, so a specific day, weekend, season, or sunset time cannot be guaranteed. Requested reschedule must be made at least 72 hours prior to session. Any additional reschedule will require a new $100 retainer.

WEATHER

Kentucky weather can change quickly, and I will make the final call if conditions are unsafe or unsuitable for photographs. Weather-related sessions postponed by me will be moved at no additional charge, and all payments will transfer to the new date.

LOCATIONS & TRAVEL

Southern Shots Photography is based in Shelbyville, Kentucky. Sessions held within Shelbyville do not have a travel fee.

For locations outside Shelbyville, I will check the one-way driving distance from the Shelby County Courthouse at 501 Main Street. Locations within 25 miles remain included. Travel is $50 for locations 26–45 miles away, $100 for locations 46–70 miles away, and $150 for locations 71–100 miles away. Destinations more than 100 miles away receive a custom quote.

Parking, admission, rental, and venue permit fees required by the location are separate and will always be discussed ahead of time.

THE DAY OF YOUR SESSION

Late arrival reduces your available photographing time, and sessions must still end at the scheduled time. Outfit changes and travel between approved locations are included within your reserved time.

A QUICK NOTE ABOUT EXTRA GUESTS

Please make sure everyone you would like photographed is included on your guest list before the session. Surprise guests can change the collection needed, our planned groupings, and the amount of time required.

If an unlisted guest arrives, they will not be photographed unless I have enough time to accommodate them and the session is upgraded to the appropriate collection. Any additional balance must be paid before they are photographed. I never want guest counts or pricing to create an awkward moment during your session, so please talk with me ahead of time—I’m always happy to help you choose the right collection.

YOUR GALLERY

Galleries are typically delivered within 2-4 weeks during busy fall and holiday seasons. Your collection includes the minimum number of images listed, with additional favorites sometimes included at my discretion. Weddings, events, and specially priced prepaid collections follow their own payment terms.

Every gallery is carefully selected and edited in my warm, vibrant, and timeless style. RAW files, unedited photographs, duplicate images, and alternative edits are not provided. Please download and safely back up your finished gallery after delivery.

GIFT CARDS

Give them something that becomes part of their story. Southern Shots gift cards are available in any amount and may be used toward any portrait collection.

Gift cards do not expire, they will always keep their original dollar value. They do not lock in current package pricing, so the recipient is responsible for any remaining balance, travel, or location fees when booking. Gift cards are nonrefundable and cannot be exchanged for cash except where required by law.
